Lessons, Care Homes & Safeguarding

This page applies to lessons, care home performances, assisted-living performances, community performances, services involving children, services involving vulnerable adults, and any setting where additional safeguarding, supervision, care, health or accessibility considerations may apply.
It should be read together with the Booking Terms and Privacy Policy.
1. About this page
KCS Productions provides music, performance, entertainment, tuition and creative services.
KCS Productions does not provide regulated care, medical services, therapy, clinical treatment, personal assistance, mobility support, resident supervision, childcare or safeguarding management.
Where a service takes place in a care home, assisted-living venue, school, community venue, church, private home or similar setting, the Client or venue remains responsible for the safety, supervision and welfare of residents, students, children, vulnerable adults, guests, staff and attendees.
2. Safeguarding commitment
KCS Productions aims to provide services in a professional, respectful, appropriate and safe manner.
KCS Productions expects all performers, teachers, representatives, clients, students, venues, residents, guests, families, staff and audience members to behave respectfully.
Any safeguarding concern observed during a service may be raised with the relevant venue manager, safeguarding lead, parent, guardian, local authority or emergency services where appropriate.
3. Children and young people
Where services involve children or young people, the parent, guardian, school, venue, organisation or responsible adult remains responsible for supervision and safeguarding unless otherwise agreed in writing.
KCS Productions does not accept unsupervised responsibility for children or young people unless expressly agreed in advance and suitable arrangements are in place.
For online lessons with students under 18, a parent or guardian should be aware of the lesson and available if needed.
4. Vulnerable adults and care settings
Where services take place in a care home, assisted-living venue, healthcare setting, supported living environment or similar setting, the venue remains responsible for:

Resident care;

Supervision;
-
Safeguarding;
-
Mobility support;
-
Medical needs;
-
Medication;
-
Behaviour support;
-
Capacity considerations;
-
Infection control;
-
Fire safety;
-
Personal care;
-
Room safety;
-
Emergency procedures;
-
Staffing levels;
-
Public liability relating to the premises.
A suitable member of venue staff must remain present throughout the performance or activity.
5. Care home performances
Care home and assisted-living performances may include piano, vocals, familiar songs, classical music, jazz standards, theatre songs, popular favourites, singalong elements and light audience interaction.
Performances can be adapted to suit the residents, setting and occasion where reasonably possible.
KCS Productions does not assess residents’ clinical suitability to attend or participate. The venue must decide whether a resident can safely attend or participate.
6. Room setup for care homes and venues
The venue should provide:

A safe performance area;

Suitable seating for residents and guests;

Adequate space around the performer and any equipment;
-
Safe access into and out of the building;
-
Access to electricity where required;
-
Parking or unloading information where possible;
-
A named contact person on arrival;
-
Venue staff present throughout the performance;
-
Clear information about any room changes, fire procedures or infection-control requirements.
7. Instruments and equipment in care homes
Where the venue provides a piano or instrument, the venue is responsible for ensuring it is safe, accessible and reasonably tuned.
Where KCS Productions provides equipment, the venue must ensure that residents, guests, staff and visitors do not move, handle, adjust or interfere with the equipment without permission.
The venue may be responsible for damage caused by residents, guests, staff, visitors or third parties under the venue’s control.
8. Resident participation and interaction
Performances may include singalong, light conversation, gentle interaction or familiar music.
Participation must always be appropriate and voluntary.
Venue staff remain responsible for deciding whether residents can safely participate and for supporting any resident who requires assistance.
9. Light percussion, props or interactive items
If light percussion, props, lyric sheets or interactive items are used, this must be agreed in advance.
The venue remains responsible for assessing residents’ suitability to use any item, monitoring use, preventing misuse, managing infection-control issues and supporting any resident who needs assistance.
KCS Productions may decline to use interactive items if they appear unsuitable, unsafe, unhygienic or inappropriate in the circumstances.
10. Infection control
The venue must inform KCS Productions in advance of any infection-control requirements, outbreaks, restrictions, PPE requirements or health risks.
KCS Productions may cancel, postpone, shorten, adapt or refuse a session where there is a health risk, outbreak, unsafe environment, insufficient notice or inadequate infection-control information.
11. Piano and singing lessons
Lessons are subject to availability and are not confirmed until agreed in writing.
KCS Productions may offer single lessons, regular lessons, online tuition, in-person tuition or lesson blocks.
Lesson format, length, fees, payment arrangements and location will be confirmed separately.
12. Lesson payments
Lesson fees must be paid by the date agreed or shown on the relevant invoice.
KCS Productions may pause, cancel or decline lessons where payment is overdue.
13. Lesson cancellations and missed lessons
Unless otherwise agreed in writing:

More than 24 hours’ notice: the lesson may be rescheduled subject to availability;

Less than 24 hours’ notice: the full lesson fee may be payable;
-
No attendance or unavailability at the agreed time: the full lesson fee may be payable.
Repeated missed lessons may result in future lessons being declined or payment being required in advance.
14. Online lessons
For online lessons, the student or parent/guardian is responsible for having a suitable internet connection, device, camera, microphone, instrument and learning space.
KCS Productions is not responsible for technical issues caused by the student’s internet connection, device, platform settings, instrument, software or home environment.
If KCS Productions experiences a technical issue that prevents the lesson, the lesson will be rescheduled or refunded where appropriate.
15. Learning outcomes
KCS Productions will provide tuition with reasonable care and skill.
Musical progress depends on attendance, practice, ability, effort, confidence, preparation and individual learning pace.
No specific exam result, grade, performance outcome, level of progress or timescale is guaranteed.
16. Student conduct
Students are expected to behave respectfully and appropriately.
KCS Productions may end, pause or refuse lessons where behaviour is abusive, inappropriate, unsafe, discriminatory, sexual, threatening or unreasonable.
17. Health, voice and physical wellbeing
Students should tell KCS Productions about any relevant health, hearing, voice, injury, disability, learning need or other issue that may affect lessons.
Singing students should not attend lessons if they are unwell or experiencing vocal strain unless the lesson can be adapted safely.
Piano students should tell KCS Productions if they experience pain, strain or discomfort while playing.
18. Lesson materials and copyright
Lesson notes, exercises, recordings, arrangements or materials supplied by KCS Productions are for personal learning only.
They must not be copied, shared, uploaded, published, sold or used commercially without written permission.
19. Photography, filming and recording
Photography, filming or recording involving children, young people, vulnerable adults, residents or students must only take place where appropriate consent has been obtained.
KCS Productions will not knowingly publish identifiable images of children or vulnerable adults without appropriate permission.
Clients, venues, parents, guardians and students must not commercially record, publish, stream or share lessons, performances or materials without written permission from KCS Productions.
20. DBS checks
Where a DBS check, safeguarding document, risk assessment, insurance document or similar record is required for a specific venue or booking, this should be discussed before the booking is confirmed.
The Client or venue should make any such requirements clear in advance.
21. Accessibility
KCS Productions aims to make services accessible, inclusive and adaptable where reasonably possible.
Clients, venues, students, parents or guardians should tell KCS Productions about any access needs, disability, health issue, mobility issue, hearing issue, visual impairment, neurodiversity, learning need or other relevant requirement when making an enquiry.
Where a service takes place at a third-party venue, the venue remains responsible for venue accessibility, access routes, facilities, toilets, parking, lifts, ramps, seating and health and safety.
22. Emergency situations
In an emergency, the Client, venue, parent, guardian or responsible adult remains responsible for taking appropriate action.
KCS Productions may contact emergency services if it considers this necessary.
23. Behaviour by clients, guests, residents or staff
KCS Productions may stop, pause, leave, refuse to continue or cancel a service if any performer, teacher, contractor or representative is exposed to threatening, abusive, discriminatory, sexual, unsafe, aggressive, inappropriate or unreasonable behaviour.
In such circumstances, the full fee may remain payable.
